The type of personal information we collect
We collect and process the data listed below, which is provided to us directly by you. Under the UK General Data Protection Regulation, the lawful bases we rely on are a) your consent and b) legitimate interest.
Membership
If you are a member of the Society, we collect your name, postal address and email address (if available) for the purposes of communication with you, for example distribution of the society Magazine.
This information will be retained for as long as you are a member, and will be deleted if you leave the Society.
The Shop
If you use the SPA shop, we collect your name, email address, postal address and sometimes telephone number which we use for the purposes of communicating with you regarding your purchase and delivering your goods. Some of the items in our shop are fulfilled by third parties and in such cases your details will be passed to the third party.
This information will be retained by us indefinitely so that future purchases can be made more easily. However, you may ask us to delete it at any time.
We do not collect or process any payment information. When you make a purchase in the Shop, you are redirected to our providers Paypal or Stripe to complete your transaction.
The website
If you have a login to the SPA website, for example you are an editor, section head or committee member, then we collect your name, username and email address for the purposes of audit and record keeping. For example, the website platform (WordPress) links your username to each page or post that you create, and records each change that you make to a page or post.
If you give up your role, then we will disable your login to the site and remove your name and email, unless it is also being used by the Shop or doing so would prevent a page or post from being displayed correctly.
The Forums
If you use the SPA forums, we collect your email address which is linked to your username.
This information is retained indefinitely, however you may ask us to delete it at any time.
If you upload media to the forum, it is your responsibility to remove any personally identifying information such as location data in image EXIF blocks.
